Privacy notice and rental guide

1. Who is responsible for your information?

For purposes of the Protection of Personal Information Act 4 of 2013 (POPIA), the responsible party is the operator of Kasi Easy Rentals:

Do not send identity documents through a public listing or ordinary social media message. Use the verification upload provided in your landlord account.

2. Information we collect

Depending on how you use the service, we may collect:

Please do not put ID numbers, bank details, health information, children's personal details or other sensitive information in an enquiry or listing unless it is genuinely necessary. We do not ask tenants to submit payslips, bank statements or credit reports in the current service.

3. Why we use it and our grounds

We use information to create and secure accounts; authenticate users; review landlord identity and claimed authority; assess, publish and moderate listings; send a tenant's enquiry to the relevant landlord; operate favourites, reports and safety processes; keep platform records; respond to requests and complaints; prevent fraud and protect users; and comply with legal obligations. Depending on the purpose, processing is based on steps requested by you or performance of the service, our legitimate interests in operating a safe rental listing service, your consent where required, and legal obligations. Consent is not the only possible lawful basis. You may withdraw consent where processing relies on consent, but this does not undo processing already lawfully carried out or records we must retain on another lawful basis.

We use enquiries to connect prospective tenants and landlords. A tenant must be signed in to send an enquiry. The message is stored and the landlord receives the tenant's name and message through the platform workflow. The landlord's name and phone number are returned to the tenant, including a WhatsApp contact link. WhatsApp is operated by Meta and has its own terms and privacy practices; contacting a landlord there means sharing information with that service. Consider what you include before sending.

4. What is public and who receives information?

Approved listings and their property details, photographs and approximate location are visible to site visitors. Landlord ID documents, selfies and proofs are not public and are intended to be available only to authorised reviewers. Access may also be given to hosting, storage, security, communications or technical support providers where needed to run the service. We require appropriate safeguards from service providers and do not sell personal information.

We may disclose information if required by law, a court or regulator, or where reasonably necessary to investigate fraud, protect a person's safety, enforce platform rules or establish/exercise legal rights. If the platform uses providers or storage outside South Africa, cross-border processing must meet POPIA requirements; the operator should document the countries, recipients and safeguards before launch. The precise hosting region and provider list are not configured in this codebase.

5. Retention and security

We keep information only as long as it is reasonably needed for the stated purpose, a legal requirement, dispute handling or legitimate safety and audit needs, then delete or de-identify it. Listings expire after 30 days unless reconfirmed. Account deletion is available from Account & privacy and currently removes the account, related database records and uploaded verification/listing files. Some records may need to be retained where required by law or for a specific, documented claim or fraud-prevention need.

The system stores verification files outside the public website directory and provides them through an administrator document route; access is intended for authorised reviewers. We use reasonable technical and organisational safeguards, but no online service can promise absolute security. The operator must set and publish a specific retention schedule for identity files, enquiries, reports, logs and backups, limit staff access, protect backups, and ensure deleted files age out of backups. Current file deletion does not itself establish a retention period for backups or operational logs.

If a security compromise affects personal information, the responsible party will follow POPIA's notification requirements, including notifying the Information Regulator and affected people as soon as reasonably possible, and taking steps to contain and investigate the incident.

6. Your privacy rights

Subject to applicable law and verification of your identity, you may ask whether we hold your personal information, request access to it, ask for correction or deletion, object to certain processing, withdraw consent where consent is the basis, and complain to the Information Regulator. Use the privacy contact in section 1. We may need to retain or refuse to erase particular records where the law permits or requires it, and will explain this where appropriate. Account deletion is also available through the account page.

7. South African rental information

Kasi Easy Rentals is a rental advertising and connection platform. We do not collect rent or deposits, hold tenant deposits, negotiate or sign leases, make tenancy decisions for landlords, or act as a Rental Housing Tribunal. A listing verification is a limited review of documents or details and is not a guarantee of ownership, authority, building compliance, condition, safety, availability or a successful tenancy. The landlord and tenant remain responsible for checking one another and agreeing on the lease.

South Africa's Rental Housing Act 50 of 1999, as amended, regulates landlord-tenant relationships. In general, a written lease should set out the parties, property, rent, escalation, payment obligations, deposit and other material terms. Tenants may request a written lease. Landlords must provide receipts for payments when required; receipts should identify the date, dwelling, payment type and rental period. Where a deposit is taken, the Act provides for investment in an interest-bearing account and payment of interest, subject to the Act. The parties should record the property's condition at move-in and arrange the required move-out inspection; deductions should be supported by the required proof and the balance and interest refunded within the statutory timeframes. Ask the relevant provincial Rental Housing Tribunal or a lawyer about your situation.

Do not pay to reserve a home before verifying it and viewing it safely. Get a signed written lease, a receipt for every payment, and written proof of the deposit and its treatment. The platform currently does not process rental payments or deposits and does not charge tenants an upfront platform fee.

8. Landlord and tenant responsibilities

Landlords must only advertise places they own or are authorised to let, keep information and availability accurate, disclose rent, deposits and fees clearly, avoid misleading claims and unlawful discrimination, and comply with applicable housing, municipal, safety and rental laws. A landlord must not use information received through an enquiry for unrelated marketing or disclose it unnecessarily.

Tenants should verify the identity and authority of the person offering the property, view the home, check the location and terms, and avoid sending sensitive documents or money before they are satisfied who they are dealing with. Do not share another person's personal information or upload photos/documents without authority.

The platform is not a party to the lease and cannot determine legal rights or resolve a landlord-tenant dispute. For rental disputes, contact your provincial Rental Housing Tribunal. This summary is general information, not legal advice.

9. Children and marketing

The service is intended for adults arranging rental accommodation. We do not knowingly seek personal information directly from children. Parents or guardians should not submit children's identity documents or unnecessary information about children in listings or enquiries. We do not currently send promotional email or SMS campaigns. If that changes, we will provide required choices and comply with POPIA rules for direct marketing.
